Privacy Policy

Last updated: January 12, 2025

At CerevoIntel, we're not fans of legal jargon that nobody actually reads. This privacy policy explains how we handle your information when you work with us or visit our website. We've written it in plain English because we think you deserve to know what happens with your data without needing a law degree.

Information We Collect

When you reach out to us or use our services, we collect information that helps us serve you better. Nothing surprising here – just the basics we need to do our job properly.

Contact and Business Information

This includes your name, email address, phone number, and company details when you fill out our contact form or start working with us. We also collect your business address and tax information for invoicing purposes – standard stuff for any professional service.

Financial Workflow Data

Since we specialize in financial workflow optimization, we work with your financial processes and data. This might include information about your current systems, workflow documentation, and performance metrics. We only access what's necessary to analyze and improve your operations.

Technical Information

Our website collects basic technical data like your IP address, browser type, and pages you visit. This helps us understand how people use our site and where we can make improvements. Pretty standard for any modern website.

We don't collect information we don't need. If we're asking for something, there's a practical reason related to serving you better.

How We Use Your Information

Your information serves specific purposes related to our work together. Here's what we actually do with it:

  • Provide financial workflow optimization services and support
  • Communicate with you about projects, proposals, and service updates
  • Send invoices and process payments for our services
  • Improve our service delivery based on project outcomes and feedback
  • Comply with Vietnamese accounting and tax regulations
  • Respond to your inquiries and provide customer support
  • Analyze website performance and user experience improvements

We won't suddenly start using your data for purposes you didn't expect. If something changes significantly, we'll let you know beforehand.

Data Storage and Security

We take security seriously because financial data demands it. Our systems include multiple layers of protection, though we're realistic – no system is completely invulnerable.

Where We Store Data

Client data is stored on secure servers located in Vietnam and internationally recognized cloud platforms with data centers in Singapore. We chose these locations for their strong infrastructure and compliance with international data protection standards.

Security Measures

  • Encrypted data transmission using industry-standard protocols
  • Regular security audits and system updates
  • Access controls limiting who can view sensitive information
  • Secure backup systems with encrypted storage
  • Employee training on data protection and confidentiality

We review our security practices regularly and adjust them as threats evolve. That said, if you notice anything concerning, please tell us immediately at support@cerevointel.com.

Data Sharing and Disclosure

We're not in the business of selling your information. Period. But there are limited situations where we share data with others:

Who We Share With Why We Share What We Share
Service Providers Cloud hosting, payment processing, email services Only information necessary for their specific function
Vietnamese Tax Authorities Legal compliance with tax regulations Business transactions and tax documentation
Legal Authorities When required by law or court order Information specified in legal request
Business Partners With your explicit consent for specific projects Project-relevant information only

We require any third party handling your data to maintain appropriate security standards and use information only for specified purposes. They don't get free rein with your information.

Your Rights and Control

Your data belongs to you. We're just custodians while we're working together. Here's what you can do:

Access and Review

You can request a copy of the information we hold about you at any time. We'll provide it within 15 business days in a readable format. No charge for reasonable requests, though we might ask you to verify your identity first.

Correction and Updates

If something's wrong or outdated, let us know and we'll fix it. We want our records accurate as much as you do.

Data Deletion

You can request deletion of your information, though we might need to keep certain records for legal or accounting purposes. For example, Vietnamese law requires us to maintain tax-related documents for seven years. Outside those requirements, we'll delete what you ask us to.

Marketing Communications

Don't want our occasional emails about services or insights? Just click unsubscribe or email us. We'll remove you from marketing lists while keeping essential service communications active if we're working together.

To exercise any of these rights, contact us at support@cerevointel.com with your request. We'll respond within 10 business days.

Data Retention

We don't keep information longer than necessary. But "necessary" varies depending on the type of data and legal requirements:

  • Active client data: Retained throughout our working relationship and for two years after project completion
  • Financial records: Kept for seven years to comply with Vietnamese tax law
  • Contact inquiries: Stored for three years unless you request earlier deletion
  • Website analytics: Aggregated data retained indefinitely; individual data deleted after 26 months
  • Marketing preferences: Maintained until you unsubscribe or request removal

When data reaches the end of its retention period, we securely delete it from our active systems and backups. We don't let old information pile up indefinitely.

Compliance with Vietnamese Law

Operating in Vietnam means following Vietnamese regulations, particularly those related to personal data protection and financial services. We comply with:

  • Law on Cybersecurity (2018) regarding data localization and protection
  • Decree 13/2023/ND-CP on personal data protection
  • Vietnamese Accounting Law regarding financial record keeping
  • Tax Administration Law data retention requirements

These regulations influence how long we keep certain records and where we can store specific types of data. If Vietnamese law requires something that conflicts with your data deletion request, we'll explain the situation clearly.

International Data Transfers

Some of our service providers operate servers outside Vietnam, particularly in Singapore and other Asian data centers. When we transfer data internationally, we ensure:

  • Destinations have adequate data protection standards
  • Contractual agreements require appropriate security measures
  • Transfers comply with Vietnamese data localization requirements
  • Sensitive financial data receives additional encryption during transfer

We don't transfer data internationally without good reason. When it happens, it's typically for cloud backup redundancy or specialized service processing.

Cookies and Tracking

Our website uses cookies – small files that help the site function properly and let us understand how visitors use it. Nothing creepy, just practical tools.

Types of Cookies We Use

  • Essential cookies: Make the website work properly – you can't really turn these off without breaking functionality
  • Analytics cookies: Help us understand which pages people visit and how they navigate the site
  • Preference cookies: Remember your settings and choices for future visits

We don't use advertising cookies or sell cookie data to third parties. Most browsers let you control cookie settings if you want to limit what's stored.

Changes to This Policy

We update this policy occasionally as our practices evolve or regulations change. When we make significant changes, we'll notify active clients by email and update the "Last updated" date at the top.

Minor clarifications or additions might happen without notification, but we won't fundamentally change how we handle your data without letting you know first.

Check back periodically if you're curious about updates. Or don't – we'll tell you if something important changes.

Questions About Your Privacy?

If something in this policy is unclear or you have specific questions about how we handle your information, just ask. We'd rather answer questions than leave you wondering.
